New Instructions (July 2024)

(Note: old instructions further below.)

To open the list of Templates:

Medilink -> (Legacy) Letters -> Templates

DMS -> Tools Menu -> Letter Templates

  • Modify: Open up Template document to modify it (note: first time will install Medilink.Tools.WordAddIn)
  • Copy: Make a copy of an existing Template and call it a new code. This is how you create new Templates.
  • Description: Set a description for a Template.

The first time you modify a document it will auto install Medilink.Tools.WordAddIn.

This will allow you to insert Medilink Template fields (mail merge fields) in to your documents via the Add-Ins tab of Word.

Simply choose the field from the drop down list and then click Insert Field, and it will insert whereever your cursor sits.

Questions/Troubleshooting:

How do I create a new Template?

Use Copy button.

How do I delete a Template?

Have to manually delete the file in your LETTERS folder. This is intentionally obscured (so that users don't delete by mistake).

Add-Ins Not Showing Medilink Templating

If Add-Ins doesn't show the first time, please close and re-open Word.

Worst case go to Windows Add/Remove Programs and uninstall Medilink.Tools.WordAddIn (it will prompt to auto install next time).

Medilink.Tools.WordAddIn Not Installing

Still Not Working?

Use the old instructions (Pre: July 2024) below. They are still able to be used (i.e. you copy/paste fields out of the MainRRR.DOCX file.)

Old Instructions (Pre: July 2024)

Navigate to the medilink32bnt\letters directory on your server.

You can edit an existing one or make a copy of an existing one and rename it MAIN?.DOCX or MAIN???.DOCX.

MainrRRR.DOCX has all the fields so it can be a good base.

Open whichever template you wish to edit in Microsoft Word. Save after editing.

Note: Letter template filenames are prefixed with "Main". For example, the filename for the letter template MMM is "MainMMM.docx".

Notes: creating/editing templates using this method means you won't have access to the custom Medilink merge fields. If you want to add merge fields to your template, use the Letter Template Generator.

Troubleshooting

Letter Template Generator: Do you want to open or save this file?

We've encountered an issue where on opening the Letter Template Generator, users are faced with a dialog asking if they want to open or save the file. If this is happening you won't be able to use the Letter Template Generator. We've made a guide on how to fix the issue

I'm manually editing a template but I can't see my saved changes.

Make sure you're editing the right template. Remember, the templates are located in the medilink32bnt\letters folder on your server (that may or may not be your local machine).
